The nameplate is the field identity of the motor. If its voltage, connection, duty, enclosure or serial number differs from the approved project documents, technicians cannot safely resolve the discrepancy by assuming that one source is newer.

Reconcile the same fields across records

Data group Compare across Typical discrepancy
Identity Purchase order, serial number, tag and test report Test report belongs to another motor
Electrical rating Nameplate, approved data sheet and connection diagram Voltage or winding connection differs
Mechanical rating Speed, mounting, frame and bearing drawings Installed mounting is not the ordered arrangement
Environmental protection IP marking, hazardous-area marking and certificate Accessory or ambient condition falls outside approval
Duty and cooling Duty type, frequency range and cooling code VFD range appears only in a proposal note
Efficiency/performance Declared class and test basis Marketing label lacks the agreed standard reference

Use the contract’s document hierarchy. A discrepancy remains open until the responsible engineering and quality functions approve a correction, concession or replacement.

Control changes before the plate is made

Freeze the approved data-sheet revision and nameplate schedule at the defined manufacturing stage. Later changes to voltage, mounting, protection marking or accessories should trigger a review of drawings, testing and certification impact.

Avoid manually altered plates unless the approved procedure and applicable conformity requirements permit it. The correction must remain durable, legible and traceable.

Capture the as-built identity

At final inspection, photograph the complete plate straight-on and at readable resolution. Match the serial number to the test report and data book. Repeat the check at site receipt to detect shipping mix-ups.

Store the image with the asset record so a future replacement enquiry does not depend on a handwritten transcription.

For replacement preparation, see which nameplate photos buyers should provide and how to verify a test report against the order.
